Do you keep copies of your e-mails? All of them? Depending on your industry, you may be required to …by law. Since the Sarbanes-Oxley Act of 2002 some companies are now being tasked with being able to reproduce electronic copies of every e-mail and Instant Messenger conversation for their employees. Auditors can require that your “archives are arranged so as to permit the immediate location of any particular record”. Can your systems do that?
What about junk mail and viruses? Companies that archive their e-mail would rather not pay to archive “junk” mail. We implement systems that filter your mail offsite. Auditors don’t appreciate junk mail either. “False Positives” (e-mails that shouldn’t have been “caught”) happen infrequently. You can always login online and “unmark” anything that’s been “caught” and release it to your inbox. And, the same system that keeps you in “compliance” also serves as your backup e-mail system! If your office e-mail goes down… you can still send and receive online while it’s being repaired!
